1. Position: Personal
Assistant to Senior Diplomats
2. Responsibilities:
Under the supervision of the
Ambassador, Minister and General Affairs Section at the Embassy, the Personal
Assistant will perform the following (but not limited to);
(1) Proofreading drafts written
in English (Notes Verbale, official letters, press release, website contents).
(2) Organize schedules of
Japanese staff and all logistics related tasks, such as making appointments,
processing appointment requests, arranging vehicles, receiving and processing
incoming correspondence, drafting correspondence, etc.
(3) Organize and arrange various
events, lunch and dinner meetings at the Ambassador’s residence and other
venues.
(4) Update and manage the data
base and lists of Who’s Who for the Embassy.
(5) Manage and file Notes Verbale
and official letters.
(6) Other duties related to
protocol and general affairs.
3. Qualifications and
requirements
(1) English as first language.
(2) A minimum of two years of
working experience in office support, administration or related fields.
(3) Excellent knowledge of Word,
Excel, Power Point.
(4) Great interpersonal skills
and communication
(5) Ability to work with
precision under pressure, dealing with tasks and solving problems on both short
and long term would be a great advantage.
4. Commencement date
As early as Monday 16 February,
2015
5. Working hours
07:30 to 16:30, Monday to Friday
except for designated public holidays
Occasional overtime required
6. Salary level
As per the Japanese Government
pay scale according to the candidate’s qualification and experience
